Leads: capture, score, route and respond on time

Every enquiry (form, QR, booking, WhatsApp, call, email, SMS, voice note, or one you add by hand) lands on one deduplicated Leads board, gets scored A–D, assigned to a teammate, and started on a first-response timer.

Every enquiry that reaches you lands on one Leads board, deduplicated by phone or email: a form fill, a QR scan, a booking, a WhatsApp message, a call (even a missed one), an email, an SMS or a voice note. Finocket scores each lead, assigns it to a teammate and starts a first-response timer; leads captured from forms, QR codes and booking pages also open a deal in your pipeline automatically.

How do I add a lead myself?

  1. By hand

On Leads (or in the CRM header), tap Add lead. Start with the phone number, then the name and email. Company and where they came from sit under About them; who should follow up (or leave that to your lead routing) and notes sit under Handling. Those sections open by themselves once they hold something. You need at least a phone, an email or a name.
  2. From a visiting card

In Add lead, tap Scan a visiting card and take a photo of the card (or pick one). Finocket reads the name, company, phone, email, title, website and address and fills the form; the title, any second number, the website and the address go into Notes, and Source says Business card. Check the fields, then tap Add lead. The card always becomes a lead, never a client, and the photo is not kept. Reading a card is a scan, so it counts like any other scan; the line under the button says what it uses.
  3. By voice

Tap Capture by voice and say the enquiry, for example “Ravi from Kumar Exports, 98765 43210, wants a quote for twenty units”. Finocket writes it down and fills in the name, phone and email; it never invents a number you did not say.
  4. By talking to Mysty

Tell Mysty on a call that someone is a lead or an enquiry and it adds them to this board, reading the details back before it saves.

How do I work the Leads board?

  1. Open Leads

Every captured lead starts in New. The ladder is New → Working → Nurturing → Qualified, with Unqualified as the polite dead end.
  2. Work the lead, then log the contact

Move its status from the card; open the contact (from the Inbox or Clients) to call, WhatsApp or email. Logging that first activity is what stops the response timer.
  3. Move along the board

When there are more statuses than fit on the screen, arrows appear at the left and right edges. Tap them to slide the board. Each column’s name stays at the top while you scroll down a long list.
  4. Convert or close

One tap converts a qualified lead into a client (its deal moves along with it); Unqualified keeps your board honest without deleting history.

How does lead scoring work?

Each lead carries a score (0 and up; the default rules top out around 100) and a grade: A at 75 or more, B from 50, C from 25 and D below that. Out of the box, points come from having an email (+10), a phone (+10) or a GSTIN (+15), filling a form (+15), scanning a QR (+10), opening (+5) or clicking (+15) an email, viewing three or more pages (+10), and arriving through a partner referral (+20). Edit any rule (facts, thresholds and points) in the scoring editor.

How are leads assigned to my team?

Routing rules pick an owner for every new lead: rotate turns evenly across your team (round-robin and load-balanced both rotate today), or pin a source or campaign to a specific person. The assignee shows on the lead and on its deal.

The new-lead email goes to the person the lead was assigned to, so they can answer while it is fresh. When no rule picked anyone, or that person has no email address on file, it goes to the workspace owner instead. On the Leads board, Assigned to me shows only the leads routed to you; the buttons appear once at least one lead has been assigned.

What is the first-response timer?

Set a first-response window (15 minutes by default) and every new lead gets a due time; logging the first call, message, email or meeting stops the clock. A lead that passes its due time without contact is flagged as breached and escalated. A contacted lead can never breach.

Where do my leads come from?

Every lead remembers its source: form, landing page, QR code, booking page, partner referral, ad click or UTM campaign. The Leads by source report groups leads by where they came from and shows how many convert; the Funnel report follows them through your pipeline stages.

Frequently asked questions

Which channels can capture a lead automatically?

Hosted forms, landing pages, QR scans, booking pages, WhatsApp messages (including voice notes), calls and missed calls, inbound email, inbound SMS, and a voice note you record yourself. Every channel dedupes by phone or email, so a returning contact never becomes a second lead.

How do I add a lead by hand, and why did my voice lead go to Clients?

Tap Add lead on the Leads board or in the CRM header: phone first, then name, email, company, source, notes and who should follow up. A lead you add by hand, by voice or through Mysty always lands on the Leads board. Until 9 October 2026, a voice note whose phone or email matched an existing client was quietly attached to that client, so no lead appeared. Now Finocket tells you the contact is already a client and saves nothing until you choose: log the enquiry on that client, or keep a separate lead.

How is the lead grade calculated?

Points from facts and behaviour add up, and the total is capped at 100: A at 75+, B at 50+, C at 25+, D below. The built-in rules can add up to 110, so a lead that does everything reaches the cap. The score shows 100 and the points list underneath still shows every point it earned, so you can see it went over. Defaults reward a reachable contact (email, phone, GSTIN), engagement (form fill, QR scan, email open or click, three page views) and partner referrals, and every rule is editable in CRM settings.

What happens if nobody responds to a lead in time?

Each new lead gets a due time from your first-response window (15 minutes by default). Logging the first call, message, email or meeting stops the clock; if the due time passes without contact, the lead is flagged as breached and escalated so it can't slip silently.

Can leads be assigned to a specific salesperson?

Yes. A routing rule either rotates turns evenly across the team (round-robin) or pins a source or campaign to one person. There were briefly three options listed, but the third behaved exactly like round-robin, so it has been removed rather than left to mislead; balancing by who currently has the most open leads is not something Finocket does yet.
