Jewellers: how the screens work

What each jewellers screen in Finocket is for, part by part. Each part opens only where it is switched on for your workspace.

Finocket keeps a jeweller’s or goldsmith’s counter in the same books as your invoices. You price each piece by its metal, purity and weight at the day’s rate, take old gold in exchange, send metal out to karigars, book in repairs and see your stock by weight. Gold and silver are weighed and priced by the gram only; Finocket does not use tola or bhori. Some screens here open only when the jewellery pack, or one of its switches, is on for your workspace. Where that is so, the section says it.

1. Your first ten minutes

Work through these in order. The first two matter most: the bill prints your GSTIN, and old-gold exchange posts nothing until its account is chosen.

  • Business and GST details: enter your business details and GSTIN before your first invoice.
  • Metal rates: record each purity’s rate per gram. With the jewellery v3 option on, a 24K and a Silver 999 rate fills the other purities for you to adjust.
  • Jewellery rates & settings: choose the accounts that old-gold exchange, karigar settlement and digital gold post to. Your CA chooses them with you. Nothing posts until they are set, and the screen says so.
  • New item: add each piece you sell as an item, with its metal and purity.
  • Invoices: raise a first sale to check the whole loop, from rate to bill.
  • Outstanding: see what each customer still owes once a bill is open.
  • Your team: add staff last, once the rates and accounts are set.

2. The daily loop: rate, sale, weight

Enter the rate before the first sale of the day. Every rate is kept with its date and is never edited: a correction is a new rate, recorded later. The invoice editor uses the newest rate for the metal and purity you choose.

On an item line, open the pricing section and choose Price by karat, stone & making charge instead. The line is then priced from the weight and the rate, not from one blended price.

GST is added by the invoice’s own tax settings, the same as any other line. Ask your CA which GST treatment applies to making charges on your bills before you rely on the figures.

The invoice line also has a HUID field. You type the HUID there, and it prints with the purity, as columns on the jewellery invoice template. It is not yet a register of pieces.

  • Choose the metal and purity, then enter Net weight (g) in grams.
  • Choose how making is charged: as a share of metal value, per gram, or flat per piece. Then enter the figure for that method.
  • Enter Wastage (%) as a percent of metal value, and a stone value if the piece has stones.
  • Tap Apply breakup to line. The Karat pricing breakup panel shows metal, stones, and making plus wastage as separate amounts, all before GST.

3. Old gold in exchange

Old-gold exchange nets the metal a customer brings in against one invoice, and posts it as one balanced entry. It is never a separate expense. Save the invoice first, then open Old-gold exchange and choose that invoice.

The exchange value can never be more than the invoice total. If the old gold is worth more than the bill, the difference belongs on a credit note.

If you buy old gold outright, with no sale, the Record purchase and payout form is on the Old gold page. It needs the jewellery v3 option; without that switch the form does not show.

  • Enter Gross weight (g), Deduction (%) and the rate per gram, then tap Record exchange against this invoice.
  • If an entry is wrong, tap Void. Voiding posts a reverse entry dated today. The original stays in your books, and the invoice itself is not changed.
  • Nothing posts until the Old-gold / metal inventory account is chosen under Jewellery rates & settings. Without it, the screen names the missing account and says nothing was posted.

4. Karigar job orders

A karigar is a goldsmith you send metal to for making or repair. Add the karigar as a supplier first. The Karigars directory then shows what you owe each one on open bills, and how much metal is still with them.

Settling needs the Karigar payable, Wastage loss and metal inventory accounts chosen under Jewellery rates & settings. The same place decides whether wastage comes off your metal inventory or off the karigar’s payable.

  • Under Karigar job orders, choose the karigar, enter Metal issued (g), and tap Issue job order.
  • When the work comes back, enter Metal received back (g). The screen shows the wastage and the fine loss.
  • Tap Settle. The making charge and the wastage post to your books as one entry.

5. Repairs

Repairs book a customer’s piece in and carry it through to delivery. Each step is a button such as Mark ready or Mark delivered.

  • Tap Book repair in. The form opens on the description, customer, phone and estimate. The karigar and promised date sit under Workshop & dates, and the shop tag (and, with the v3 option, the weight in) under Tag & weight; each opens when it holds something.
  • When the repair is ready or delivered, raise its invoice in the normal invoice editor. Then open the repair, choose the invoice under Invoice for this repair and tap Link invoice. Linking posts nothing; the invoice books the money.
  • To pay the karigar for the repair, tap Settle karigar. It posts once to your books.

6. Stock, rates and access

Stock and rates groups your jewellery items by metal and purity. For each group it shows the weight, the fine weight and the value at today’s rate. The screen is read-only.

The value is the weight times today’s rate per gram for that purity. Making charges, stones and GST are not in it. A purity with no rate says so, rather than showing a zero. Items stocked by count rather than weight are counted, but are not in the weight or the value.

  • Metal rates shows every rate ever recorded, by metal and purity. To correct a rate, record a new, later one.
  • Who can do what shows, read-only, what each team member can do with jewellery. To change it, use Team & access under Your team.

7. Not set up yet, or switched off

These are not built for your workspace, or they sit behind a switch. Their screens say so rather than showing an empty list. Do not plan your counter around them.

  • A stored HUID, weight and fineness for each piece. The HUID you type on an invoice line is a field only.
  • A fine-metal ledger by party, and a job order with more than one metal.
  • Custom orders with an advance. The screen says they are not switched on yet.
  • Girvi (pledge) loans and savings or instalment schemes. Finocket does not offer them.
  • Digital gold. Its records keep track of each customer’s grams. It is not a product: money does not move through Finocket, and customers cannot buy through it.
  • The jewellery pieces screen, the old-gold value preview and the buy-back form. They need the jewellery v3 option.

8. Who to ask

Your administrator, the workspace owner, gives your team their access and switches screens on. If a screen is missing, ask them.

Ask your CA about tax: how GST applies to making charges, how old gold is classified, and which account each karigar, wastage and digital gold entry posts to. Finocket records what you enter; your CA decides the treatment.
